For hot desking, choose chairs that fit a wide range of body sizes and that anyone can adjust in under a minute without instructions. Look for clear, independent controls for seat height, seat depth, lumbar height and armrests, a load rating that covers your heaviest likely user, and one consistent model across the floor so people learn it once.
Why do hot desks need different chairs?
When nobody owns a chair, nobody sets it up properly unless it's easy. If the controls are confusing, people sit in whatever position the last person left it in, often for a full day. A shared chair also has to fit far more people than an assigned one, from shorter to taller staff and across a wide range of weights.
Which adjustments matter most on a shared chair?
- Seat height, so feet sit flat and thighs are level
- Seat depth, so shorter and taller users both get support without the seat edge pressing behind the knee
- Lumbar or backrest height, so the support sits in the curve of each person's lower back
- Armrest height, so shoulders stay relaxed at the desk
- Tilt tension or an automatic mechanism, so the chair responds to different body weights
What makes chair adjustments easy to use?
Independent controls, where each lever does one job, are easier to learn than combined controls. Automatic and self-adjusting mechanisms remove a step altogether. A short how-to guide at each desk helps too. Our Storm and Rhythm chairs come with How to Use guides you can download from the product page.
What fit range should a shared chair cover?
Avoid size-specific chairs as the shared default. For example, our Icon Chair is designed for people under 160cm tall, which makes it a great assigned chair but not the right choice for every hot desk. Seat depth adjustment does the most to stretch one chair across different body sizes, and the load rating should cover the heaviest likely user. Our guide to weight ratings explains how to choose.
Is mesh or upholstered better for hot desks?
Both work. Mesh is breathable and has no foam to compress, while upholstered seats feel softer and suit cooler spaces. Our mesh vs upholstered guide compares them in detail.
